Calendar

See your Outlook calendar next to your conversations, find a time with teammates, book meetings from a conversation, and answer meeting invitations in the email.

The calendar (Dagatal) shows your Microsoft 365 calendar in Elvo, next to your conversations. You can see when teammates are busy, book meetings, and answer invitations without leaving Elvo. Elvo reads your calendar from Microsoft each time you open it. Elvo does not store your events.

Google Workspace and Gmail calendars come later. See Google Workspace and Gmail.

Which calendars you see

Elvo uses the Microsoft 365 connections that your company already has in Elvo:

  • Your own mailbox. If you connected your own Microsoft 365 mailbox under Settings → Email, its calendar shows in Elvo by itself. Only you see it.
  • Shared mailboxes. A shared Microsoft 365 mailbox that is connected in Elvo brings its calendar. The members of the mailbox's team see it. These are the same people who can send email from the mailbox.
  • No mailbox of your own. Click Connect Outlook calendar in the calendar and sign in with your Microsoft account. You can also do this under Settings → Connect → Calendars, with Add calendar.

Lite users do not have the calendar.

Approval from your IT admin

Your company's IT admin approves Elvo's calendar permissions in Microsoft 365. The admin does this one time, for all people in the company.

Until the admin approves, the calendar shows Elvo needs permission to read this calendar. It also shows Your Microsoft 365 administrator must approve Elvo's access first. Send them this link: and the link Approval link for the administrator. Send this link to your IT admin. When the admin approves, your calendar shows in Elvo. You do not have to do more.

If your company approved Elvo for email before, the admin must approve one more time for the calendar. Elvo shows the link for this too. The admin finds the steps on For IT admins.

You see the message at the top of the calendar and under Settings → Connect → Calendars. In the sidebar, a warning sign with Needs attention shows next to the calendar.

Open the calendar

  • Next to a conversation. Click the calendar icon (Calendar) in the bar on the right side of the conversation. The calendar opens as a column next to the conversation. Select Day, Agenda or Month. The calendar and the contact panel use the same space, so one closes the other.
  • As a full page. In the sidebar, under Calendars, click a calendar. Select Day, a number of days, Week, Month or Agenda. The column on the left has Find a time…, your calendars with a checkbox for each, and a small month.
  • On a phone. Tap Calendar in the tab bar at the bottom. Swipe left or right to go to the next or the previous days.

Click an event to see its details: the time, the organizer, the attendees and their answers, and Join for an online meeting. Open in Outlook opens the event in Outlook.

See when teammates are busy

In the full calendar, type a name in Find a time… and select the teammate. Their busy times show next to your events in the day and week views. You can show up to 10 teammates at a time.

In the calendar next to a conversation, click Calendars and teammates (the settings icon). Under Team, turn on the teammates you want to see.

Elvo reads a teammate's calendar through your own Microsoft account. You see only what their Outlook sharing lets you see. Usually this is the busy times, sometimes also the titles. If Elvo cannot read a teammate's calendar, it shows Couldn't check.

When a teammate is in one of your meetings, the meeting shows Teammates in this meeting.

Book a meeting

You can start a new meeting in three ways:

  • Click New meeting in the calendar.
  • In the day or week view, click or drag on an empty time.
  • In a conversation, open the ⋯ menu and select Book meeting. Elvo uses the subject as the title. It adds the customer and the people they copied in as attendees.

In the meeting window, you set the title, the time, Attendees, Online meeting (Microsoft Teams), Location and Description. You can also set Repeat, Calendar, Show as, Visibility and Reminders.

When you add attendees, Find a time shows the busy times of all attendees on that day. Click Next free time to find the first time between 08:00 and 18:00 when all attendees are free.

Outlook sends the invitations from your own calendar. Elvo does not send anything itself. When you book a meeting from a conversation, Elvo adds an internal note to the conversation: Meeting booked, the title and the time. The customer does not see this note.

To change a meeting, click it and select Edit or Delete. Only the organizer can change a meeting. For a repeating meeting, Elvo changes only the one occurrence. Change the full series in Outlook.

Meeting invitations in email

When an email has a meeting invitation, Elvo shows the invitation as a card above the email. The card shows the time, the organizer, the attendees and Join meeting. The text of the email is under Show email.

With a connected calendar, the card also shows Your day: the other events in your calendar near that time, and any conflicts. On the card you can:

  • Answer Yes, Maybe or No. Add a Note to the organizer if you want.
  • Click Add to calendar or Remove from calendar.

Elvo answers in the calendar of the mailbox that got the invitation.

When a person accepts your invitation without a note, Elvo moves the answer to Archive and tells you in Activity. A decline, a maybe, or an answer with a note stays in the inbox. When a person declines your meeting, Find a new time opens the calendar on that day.

Snoozed conversations on the calendar

The conversations that you snoozed show on the calendar at the time they come back. Click one to open the conversation. In the full calendar, use the Snoozed checkbox to show or hide them. The Snoozed item in the sidebar shows only these conversations. See Snoozing & on hold.

Suggestions from Outlook

When you type a recipient in an email, or an attendee in a meeting, Elvo also suggests people from your own Outlook. These are your contacts and the people you write to often. They show under From Outlook.

Elvo uses only your own Microsoft account for this, never a shared mailbox. The IT admin approval for the calendar also covers these suggestions.

Settings

Settings → Connect → Calendars shows your calendar accounts, under Personal calendars and Shared calendars. For each calendar, you can set Visible and Colour. Disconnect removes a calendar that you connected yourself. A calendar that comes with a mailbox stays until the mailbox is disconnected under Settings → Email.

Settings → Preferences → Calendar sets how the calendar looks and works for you:

  • Week starts on, Hours visible at once and Open locations in (Google Maps or Apple Maps).
  • Default meeting length, Default calendar and Online meeting by default.
  • Show weekends, Show meetings you declined, Show week numbers and Fade past events.

Only you see these settings.

Google Workspace and Gmail

The calendar for Google Workspace and Gmail opens when Google has finished its review of Elvo's calendar and contacts permissions. We expect this within a few weeks. Until then, the calendar in Elvo tells you that the Google calendar opens after Google's review.

When it opens, you connect the Gmail mailbox as usual. The same Google consent screen then also connects the calendar, the contacts and the directory of the account.

Privacy

  • Elvo reads calendars from Microsoft each time you open the calendar. Elvo does not store your events.
  • Only you see your own calendar. Teammates see your busy times only through their own Microsoft account, and only as much as your Outlook sharing lets them see.
  • On a shared mailbox calendar, a private event shows without its details.
  • Elvo's AI does not read your calendar.
  • When Elvo support helps your company with support access, they do not see your personal calendar.

See the privacy policy for more.

FAQ

Why do I not see the calendar? Lite users do not have the calendar. If you see Elvo needs permission to read this calendar., your IT admin must approve Elvo. Send them the link that Elvo shows.

What does Grant access do? It asks Microsoft for access for you only. In many companies, only the IT admin can approve apps. Then Microsoft asks for the admin's approval, and you must send the admin the link.

Why can I not change a meeting? Only the organizer can change a meeting. To answer a meeting that another person organized, use the invitation in the email or in Outlook.

Why did the meeting not get a Teams link? The mailbox cannot host Teams meetings. Elvo tells you this when you save, and the invitation goes out without a link.

Does the customer see that I use Elvo? No. The customer gets a normal invitation from Outlook. The note on the conversation is internal.

Does Elvo change my calendar? Only when you book, change, delete or answer a meeting in Elvo.
